The Beyond Collection

This policy describes what information HB Hospitality, LLC d/b/a The Beyond Collection (“The Beyond Collection,” “we,” “us,” or “our”) collects and how it is used and shared by and through our websites and mobile apps (the “Services”). As you review our policy, remember that it applies to all The Beyond Collection websites, including The Hive. Please read our Privacy Policy carefully.

The Beyond Collection may update this Privacy Policy in the future. We may update this Privacy Policy to reflect changes to our privacy practices and without prior notice to you. When we do so, we will update the Effective Date above. We encourage you to periodically review this Privacy Policy.

You agree that this Privacy Policy applies to all information you have collected and provided to us.

What Information Do We Collect from You?

Information We Collect Directly From You

We receive and store any information you enter through our Services, or communicate with us in any other way. This includes information that identifies you (“personal information”), including your first and last name, telephone number, postal and email addresses, and username(s) and password(s), if applicable. We also collect any other information you choose to provide to us, including through free text fields on the Services or through online chat functionality that we make available through our Services or mobile apps, which may be recorded by or through third-party service provider(s) acting on our behalf and at our direction.

We also may request and collect information about your communications needs and preferences. When you contact us, we may monitor or record the communication or keep a record of it to help us train employees and provide customer service.

Chatbot Communications

Our Services include a chat feature powered by Olark, a third-party service provider. When you use this chat:
– Your messages are monitored, recorded, and processed by Olark
– Communications may be reviewed by our staff and service providers
– Olark uses automated chatbot and artificial intelligence technology to respond to inquiries
– Your use of the chat is subject to this Privacy Policy and our Terms of Service
– By using the chat feature, you consent to the collection, recording, and use of your chat communications

Information Automatically Collected

We may automatically collect some information when you visit our Services. For example, we may collect session data, including your IP address, Web browser software, and referring website, which may be recorded by or through third-party service provider(s) who act on our behalf and at our direction. We also may collect information about your online activity, such as content viewed and pages visited.

Third-Party Analytics and Tracking

We use Hotjar, a third-party analytics service, to understand how users interact with our Services. Hotjar may collect information about your online activities, including:
– Pages you visit and links you click
– Your mouse movements and cursor position
– Your keystrokes and scrolling behavior
– Session replay recordings of your interaction with our Services

We also may collect information in connection with other third-party analytics technologies, such as Google Analytics. This information also may permit us to identify users associated with multiple devices used to access our sites or services.

Cookies and Web Beacons

We may use cookies for automated data collection. Cookies are small data text files that, if your browser permits, can be stored on your computer’s hard drive:
– To help us recognize your browser as a previous visitor and save and remember any preferences set while your browser visited our Services. For example, if you register on our Services, we may use cookies to remember your registration information so you do not need to log into our Services each time you visit. We also may save your password in a cookie, if you checked the box entitled “Save this password for automatic sign-in” (or other similar words).
– To help measure and research the effectiveness of the features, offerings, and email communications (by determining which emails you open and act upon) of our Services.

Our Services also use Web beacons (also known as clear gifs, pixel tags, or Web bugs). Information from Other Sources

We also may periodically obtain information about you from affiliated entities, our clients, partners such as hotels hosting events, and other third parties such as other providers of business-to-business contact and marketing lead information like data brokers or social media platforms. We may add that information to other information about you that we maintain.

How Do We Use Your Information?

The Beyond Collection may use the information we obtain for a variety of purposes, including:
– To provide the Services, including to you or other businesses and individuals that subscribe to our products or services. For example, if you are a meeting planner registered with the Services, we may provide our hotel clients that subscribe to our Services with access to your personal information as part of the Services;
– The registration and management of your account, including assistance with service-related issues or questions, and the facilitation of your access to and use of our Services, applications, and online services;
– Communication with you, including marketing communications and to provide information about The Beyond Collection;
– To respond to your questions and comments, provide alerts and notifications, or provide other customer service;
– For our business purposes, including business and usage analytics (e.g., measurement of your interest in our Services or features of our Services), as well as the improvement, management, and protection of our network and the Services;
– Improving the Services;
– Notifications and provision of information about special offers and products or services available from us or our partners that may interest you;
– Customization and personalization of your experience with The Beyond Collection, including to help identify you as a user when you access our Services, associate you with each different device (such as your home computer, laptop, and/or mobile device) you may use to access our Services and/or engage in a transaction, and to combine information we have collected from your use of different devices to help provide a more personalized and consistent experience across your devices;

When Do We Share Your Information?

The Beyond Collection may share information with others as described below:
– Within our family of companies (and their divisions) for operational purposes.
– Businesses and individuals that subscribe to our services for them to access and otherwise use by their subscription.
– If you choose to access certain third-party social media websites and services through our Services. When you do so, you share information with those sites and their privacy policies will govern the information you share with them as described in the “Does Our Privacy Policy Apply to External Links or Other Parties?” section below.
– When we use third-party vendors to provide various services or functions on our behalf, including business analytics, customer service, marketing, distribution of surveys, and fraud prevention. Third-party vendors have access to and may collect information only as needed to perform their functions.
– To government entities conducting an investigation or making a lawful request, in response to subpoenas, court orders, or other legal process; to establish or exercise our legal rights; to defend against legal claims; or as otherwise required by law. We reserve the right to raise or waive any legal objection or right available to us in any such cases.
– When we believe it is necessary to investigate, prevent, or take action regarding illegal or suspected illegal activities; to protect and defend the rights, property, or safety of The Beyond Collection, our community members, or others; and in connection with our Terms of Service and other agreements, subject to applicable law.

When you use our Services, we may permit other parties to collect your personal information about your online activities over time and across different websites, applications, or online services.

What Choices Do You Have Regarding the Collection and Use of Your Information?

The Services may permit you to update or revise your information from time to time. You also may contact us using the information provided at the end of this policy if you believe your information needs to be updated or revised.

You can choose not to provide us with certain information that we request, although choosing not to provide us with that information may limit or prevent your use of certain services or features offered on the Services. For example, we require your contact information before you can sign up to receive our newsletter.

You can adjust your preferences and settings through your user account.

Whether registered as a The Beyond Collection community member or not, you also may unsubscribe from promotional messages in any email we send. We reserve the right to send you other communications, including service announcements, administrative messages, and surveys relating to your The Beyond Collection account, without offering you the opportunity to opt out of receiving them.

The “Help” portion of the toolbar on most browsers will tell you how to prevent your Web browser from accepting new cookies, how to have the browser notify you when you receive a new cookie, or how to disable cookies altogether. Please note that if you refuse to accept cookies from The Beyond Collection, you may not be able to access some tools, features, or portions of our Services. At this time our Services do not respond to “do not track” signals.

How Do We Protect Your Information?

While no company or website can guarantee security, we have implemented commercially reasonable administrative, technical, and physical security procedures to help protect the information you provide to us. These measures include administrative safeguards, such as policies, procedures, and training, as well as physical and technical controls. However, we make no guarantee, representation, or warranty that the use of the Services is protected from all security threats, viruses, or other vulnerabilities or that your information always will be secure.

Does Our Privacy Policy Apply to External Links or Other Parties?

If any part of our Services links you to other websites, applications, or online services those external websites, applications, and online services are not governed by this Privacy Policy. Similarly, if you choose to contact, communicate with, or use the products or services of another user of the Services or other third party due to an ad or other content we provide, that party’s use of your information is not governed by this Privacy Policy. We recommend that you examine the privacy statements provided by those third parties to understand their procedures for collecting, using, and disclosing personal information.

How Does Our Privacy Policy Apply If You Visit Our Services from Outside the United States?

Your information will be transferred to, stored, and processed in the United States. The data protection laws of the United States may vary from those applicable in your country. However, The Beyond Collection will treat your information as described in this policy regardless of the location from which it was collected.
